Office Services Coordinator/Administrative Assistant

Larry Walker Associates is looking for two new Business Team members in our main office in Davis, California or from our regional office in Berkeley, California. LWA’s dynamic Business Team includes operations, finance, human resources, and marketing and design, with team members performing activities across the various disciplines. As part of the Team, your primary role will be to perform critical operational functions, with opportunities to support finance and human resources.

The Position

LWA has two open positions and will assign duties and responsibilities between the two positions based on the experience and interests of the selected candidates. LWA Business Team members have the opportunity to select the job title they believe best reflects the position. In the past, one position was titled Administrative Assistant and the other was titled Office Services Coordinator. The Davis position is full-time, 40 hours a week, Monday to Friday, but the Berkeley position could be full-time or part-time (20-30 hours per week).

As a family-owned business, LWA supports hybrid work arrangements that give staff flexibility in balancing work and family obligations. New hires may request a hybrid arrangement in consultation with their office manager but both roles require at least two days per week in the office.

To be a successful member of the Business Team at LWA, candidates should be professional, polite, attentive, and accurate. What you will be doing

Core job duties for both positions:

  • Office Services Coordination: Manage all aspects of office administration, including but not limited to managing office correspondence; manage office equipment, files, and vendors; address office staff requests.

The following job duties will be assigned based on experience and candidate interests:

Operations Support

  • Plan, coordinate, and execute events including company meetings, lunch events, office celebrations, etc.
  • Manage IT support for staff, including but not limited to staff training, supporting staff interactions with IT vendor, supporting IT onboarding for new staff, and updating and maintaining LWA’s internal SharePoint site.
  • Provide high-level administrative support to the Executive Vice President in Davis and VP in Berkeley
  • Work with the Executive Team leaders of the Operations Team to coordinate Team meeting, develop and execute annual goals, and maintain Team documentation.

Human Resources Support

  • Provide administrative support to the HR Generalist in areas of benefits, recruitment, onboarding and offboarding, training, and health and safety.

Finance Support

  • Assist Finance Team members with preparing and sending invoice packages, and tracking accounts receivable

Marketing and Design Support

  • Assist Marketing Operations Coordinator and technical staff with report and proposal development and production
